Event submission guidelines and policy

Follow these steps to include your event

  • Provide information in both English and French if possible.
  • Your event must be submitted three weeks (member) or one month (non-member) in advance.
  • Don’t include programming details and pricing.
    • The listing allows for a basic description with a phone number, website, address and image only.
  • Don’t repeat information such as the name of the event or its location in the event field.
  • Write in the third person. Don’t use “we” or “our.”

Photo submission rules

  • Please ensure there is no text on the photo as we crop and resize images as needed.
    • We reserve the right of final approval of images.
  • Flyers and posters will be rejected.
  • In submitting photos, you are giving Ottawa Tourism the right to use the photo for the purposes of promoting Ottawa as destination in promotional or marketing efforts.

Make sure your event meets these requirements

  • Events should have broad appeal, however, some “quirky” events showcasing the Ottawa destination’s diversity may be included.
  • Events must be events or activities in which tourists can participate.
    • Events requiring pre-registration aren’t appropriate unless the event attracts a significant number of spectators.
  • Events must take place within the Ottawa region
  • Events that are unlikely to be approved include (but are not limited to):
    • Deals, discounts, coupons or promotions for businesses
      • Happy hours
      • Dining specials
      • Business grand openings
    • Regularly scheduled courses, classes or events
    • Permanent exhibitions or tours
    • Events that are discriminatory to any individual or group
    • Small scale craft shows
    • Fundraisers, benefits or galas
    • Political activities
    • Meetings or conferences
    • Religiously focused ceremonies or functions
    • Events that are in conflict with any applicable laws, City By-laws or policies
    • Membership or networking events
    • Job fairs
    • Summer camps
    • Seminars, lectures or workshops
    • Book signings
    • Demonstrations
    • Karaoke, bingo or trivia night

General information

  • Events that take place over several days rather than just one day are ideal.
  • An attempt is made to balance the listings by venue.

Refusal and removal policy

Ottawa Tourism reserves the right to refuse or remove any event submissions from its Events Calendar, without recourse or explanation, that:

  • Misrepresent themselves;
  • Express any type of hate, including but not limited to racism, sexism, homophobia, ableism, slanderous or insulting language, or contain life-threatening messages;
  • Are defamatory or put forward serious, unproven or inaccurate accusations against individuals or organizations;
  • Are aggressive, coarse, violent, obscene or pornographic;
  • Are offensive, rude or abusive to an individual or an organization;
  • Suggest or encourage illegal activity;
  • Are contrary to local, provincial or federal law, including the Canadian Charter of Rights and Freedoms;
  • Contain announcements from and partisanship for labour or political organizations;
  • Are unintelligible or irrelevant;
  • Are repetitive or spam.
